Before you hire, look at the process.
Find out whether the bottleneck needs another person or a better way of working.
Capacity is only part of the question
An overloaded team may need another person. It may also be spending time correcting errors, waiting for approvals or entering the same information twice. Understand that work before deciding how to expand the team.
Map one recurring task
Choose a task such as processing an order. Write down the trigger, each action, each handoff and the final outcome. Ask the people doing the work to identify delays, exceptions and repeated effort.
Separate work from waiting
Track the time spent actively handling the task and the time spent waiting. If most of the delay happens between steps, increasing headcount at a single step may not improve the overall experience.
Test before scaling
Remove one unnecessary handoff or clarify one decision rule. Compare completion time and error rates before and after the change. If demand still exceeds capacity after the process improves, you have a stronger basis for a hiring decision.
